What’s included:
On-screen demonstration of a video clip in the conference halls between the sessions of the MINEX forum. The duration of the video clip should not exceed 180 seconds. The demonstration is made in rotation without sound.

Listing of the presenter’s profile on the website and printed agenda
10-15-minute presentation. The time and session will be allocated closer to the event.
Participation in the Q&As or Panel (subject to agreement)

FREQUENTLY ASKED QUESTIONS

Unless agreed otherwise, speakers are expected to pay an admission fee to attend the Forum. 

Which speakers are offered complimentary guest passes? 

  • Speakers or Panellists presenting on behalf of a Sponsor or Partner of the Forum. 
  • Representatives of National and International Government organisations. 
  • Speakers invited to present as guests. 

Please be aware that MINEX Forum cannot sponsor or reimburse speakers’ travel or research expenses. For any questions, please contact us. 

Can I present remotely? 

Speakers are expected to present in person. An exception may apply to speakers who are not able to attend personally and cannot find a substitute. 

Can you provide an official invitation letter to attend and present the Forum? 

Yes, please complete the contact form with your information and details about your organisation. 

How can I register substitute speaker? 

A substitute speaker is expected to submit the speaker application form. 

Do you provide simultaneous translation? 

Yes, all registered participants will have access to simultaneous translation during Forum sessions. 

In what language can I present?  

You can present in either English, Uzbek or Russian. Presentation slides should be prepared in English or combine English and Russian.  

Why do I need to pay as speaker? 

We don’t have deep pockets and don’t have other financial sources (e.g. gold mine or two 😊). It costs a lot of money to organise events. The Forum is mostly funded by fees from commercial profit-driven organisations. We consider it fair to expect that companies presenting their projects, services or products should pay the “advertising” fee in addition to the Forum admission fees.  Speakers presenting non-commercial talk on behalf of profit-driven organisations are charged admission fees only.  

Will presentations and other materials be available after the Forum? 

Registered Forum delegates will have access to presentation slides and video recordings of the Forum sessions, and photos. These materials will be available approximately two to three weeks after the Forum. 

How was it in 2024?

In 2024, the exhibition was organised as part of the forum held in Bishkek, Kyrgyz Republic. You can find more information on the previous forum’s website here. 

GENERAL TERMS AND CONDITIONS

Registration and Agreement:

Participation in the event requires registration and confirmation from MINEX Forum. Registration and a formal agreement between the exhibitor and the organisers are only established in writing upon receipt of the application and conclusion of a contract (if payment is required). 

Payment

  • Exhibitors are obligated to pay the reservation fee according to the terms specified in the contract. The full fee must be received by the organisers no later than 48 hours before the event starts. Failure to pay may result in cancellation of the booking and refusal of participation. 

Pricing

Prices and conditions are valid at the time of publication. MINEX Forum reserves the right to change prices at any time without prior notice. Changes will not affect registrations already confirmed by MINEX Forum. 

Delegate Discounts

Discounts are only applicable at the time of registration and cannot be combined. Group registration discounts are only valid for the specified number of delegates. 

Exhibition Stand Cancellation

All cancellations must be emailed to secretariat@minexforum.com with the subject line “Cancellation” and must be received by MINEX Forum. 

Upon cancellation, the exhibitor is required to pay an administrative fee based on the total package cost, as follows: 

  • 5% – Cancellation 41 or more working days before the forum. 
  • 10% – Cancellation 40 – 31 working days before the forum. 
  • 25% – Cancellation 30 – 16 working days before the forum. 
  • 50% – Cancellation 15 – 5 working days before the forum. 
  • 100% – Cancellation 4 or fewer working days before the forum. 

Participant Registration Cancellation

Registration cancellation is possible. All cancellations must be sent by email to secretariat@minexforum.com with the subject line “Cancellation” and must be received by MINEX Forum. Cancellations received 10 or more calendar days before the MINEX Forum event will incur a 15% administrative fee. No refunds will be provided for cancellations received less than 10 calendar days before the event, and the full fee remains payable. For cancellations made less than 10 calendar days before the event, a credit for participation in other forum events may be issued at the organizers’ discretion. 

Transfer of Registration

Registration is for personal use and cannot be transferred to another individual without prior written agreement from the event organizers. MINEX Forum may (at its discretion) refuse admission to or remove any person from the Event at its discretion, including (but not limited to) any person who does not comply with these terms or who, in the opinion of MINEX Forum, represents a security risk, nuisance, or inconvenience to the running of the Event. You agree to comply with all reasonable instructions given by MINEX Forum or the venue owners at the Event. 

Changes and Cancellation of the Event

The organizers may alter the format, speakers, content, and location of the event. If the organisers change the date or cancel the event, participants will be offered the opportunity to attend an alternative event or receive a refund of the fee paid. 

Force Majeure

In the event of force majeure, the organizers may change the location or date of the event, applying fees to the rescheduled event without the possibility of objection or demand for compensation. To the maximum extent permitted by applicable law, MINEX Forum shall not be liable for any loss, delay, or damage incurred as a result of or arising from the cancellation or date change of the Event. 

Limitation of Liability

To the maximum extent permitted by applicable law, MINEX Forum excludes: (a) any liability for loss, injury, or damage to persons or property during the Event; (b) all warranties, representations, terms, and conditions (whether express or implied); and (c) all liability for any actual or alleged indirect or consequential loss or damage howsoever arising or any loss of profit, anticipated profit, savings, loss of business revenue, loss of business, loss of opportunity, loss of goodwill, or any other form of loss (whether direct or indirect). If MINEX Forum is liable to you for any reason, MINEX Forum’s total liability to you in relation to the Event (whether under these terms and conditions or otherwise) is limited to the fees received from you for your participation in the MINEX Forum. 

Event Filming

Any unauthorized filming  as well as the recording or transmission of audio or visual material, data, or information, is strictly prohibited. 

Personal Information

The personal information you provide to us will be stored in a database. For more information on how MINEX Forum uses the information you provide, please refer to our Privacy Policy. 

Jurisdiction

The execution of the terms and agreements is governed by English law. The parties agree to resolve any disputes in accordance with the jurisdiction of English law. No one other than you and MINEX Forum has any right (whether under the Contracts (Rights of Third Parties) Act 1999 (the “Act”) or otherwise) to enforce any of these terms without the prior written consent of both you and MINEX Forum. 

Terms

These terms are binding on all participants of MINEX Forum events, and participation in the event implies acceptance of these terms.
